Attendance
Open event sheets, mark or correct attendance, print cycle sheets, filter the ledger, use quick-add, review member history, and export CSV.
Open an event attendance sheet
- Open Events from the admin sidebar.
- Choose an event name to open event detail.
- Select the Attendance tab.
- Review the roster sheet for that event.
You can also open an event column from Attendance → Overview, or follow an event link from a member's Attendance tab.
Rostered Conductors appear first in a dedicated Conductors group. Choose Conductors in the section filter to review only those rows. They remain part of the roster and marked totals.

Print cycle attendance sheets
- Open Attendance and choose Overview.
- Select a Season and Concert cycle.
- Open the header actions menu (⋯) and choose Print attendance sheets to open the printable PDF in a new tab.
The PDF covers the selected cycle and lists rostered musicians by section in a fixed two-column grid. Each string section includes three blank rows for additions; each winds, brass, percussion, or other section includes one. For the same action from a cycle roster, see Rosters.
Mark or correct attendance records
- On an event attendance sheet, set Present, Late, Absent, or Excused for each rostered member. Event-only rows show Not on roster; signup exceptions show No response, Not sure, or Not playing independently.
- Open Other attendance options to Clear mark or add a note.
- On Attendance → Overview, edit a cell in the cycle grid to change one member's mark for one event.
Progress counts rostered members only, for example 12/12 roster players marked · 1 event-only player. Clearing an event-only mark removes that person from the event. If they have no other marks in the cycle, they leave the cycle grid too.
Member-reported Absent or Late marks from Absences appear on the sheet and in Upcoming absences.
Filter the attendance ledger
- Open Attendance and choose Records.
- Set Season, Concert cycle, and Section filters as needed.
- Enter a member name in the search field to find their marks.
- Choose a Status filter such as Absent or Excused.
- Choose Clear filters to reset.
Recent absences and Upcoming absences tabs use the same season, cycle, and section filters without the status control.

Filter the Records tab to find attendance entries.
Use quick-add and follow-up email
- On an event attendance sheet, scroll to Quick add.
- Search for an existing member in the member bank and select their name to mark them Present for this event only.
- When no match appears, choose Create {name} in that section's Quick add. The new substitute is marked Present for this event only.
- If prompted, enter an Email in Add contact email and choose Save email, or Skip for now to finish the mark.
- Later, open Players → Needs follow-up to add email for members who still show Email needed.
Quick add records attendance for this event without placing the musician on the concert-cycle roster. Creating a new name still adds them as a Substitute in the member bank. Add Conductors and cycle roster placements from Rosters.

Review individual attendance history
- Open Players and choose a member.
- On the member profile, choose the Attendance tab.
- Review Marked, Present, Late, Absent, and Excused counts for the season.
- Read absence rows in the preview table, then choose Open attendance or View all {n} absence records to open Attendance → Records filtered to that member.
The Attendance tab on the member profile is the same ledger as the event sheets and Records tab. For the shared profile tab workflow, see Players.
Export attendance CSV
- Open Attendance and choose Records.
- Apply Season, Concert cycle, Section, Status, and name filters you want in the export.
- Open the header actions menu (⋯) and choose Export CSV.
