Search the member bank, maintain records, manage sign-in security, and review member activity.

Interpret designations and know when to escalate

Use this matrix when a member asks what they can see. “Rostered concerts” means only cycles where personnel has placed the member on the roster. Conductor roster rows supply that scope without adding signup or dues access.

Program and music includes each cycle's primary concert date. Rehearsal dates, locations, event links, and Calendar entries remain roster-scoped. Personnel managers add Substitutes to rosters; a Substitute’s signup response does not add or remove them. Inactive members keep Directory access even though their own record is omitted from its member listings.

Search and filter the player list

  1. Enter a name in the search field. Matches include everyday first and last names and any saved Print name used in concert programs.
  2. Filter by Section, Designation, or Additional designation.
  3. Searches include archived records automatically. With no search term, choose Show archived to include retired records.
  4. Choose Showing archived only to limit the list to archived records.
  5. While searching, choose Show archived to hide archived records for that search.
  6. Choose Reset to clear filters.

Export the player list to CSV

  1. Apply the filters you need.
  2. Open the header actions menu (⋯).
  3. Choose Export CSV.

Update additional roles for multiple members

  1. Select the members shown in the list.
  2. Choose Edit properties.
  3. Under Additional designations, choose Personnel manager, Librarian, Board, Marketing, or Can enter attendance. A mixed role adds it to everyone first; choose it again to remove it from everyone.
  4. Choose Apply.

Create a new player

  1. Open the header actions menu and choose Add player.
  2. Enter First name, Last name, and Email.
  3. The member's first and last name are used on printed concert programs and public-facing rosters by default, and in Player records and on the members site. Check Use a different name on printed programs and public rosters only when those public surfaces should show something else — the field starts with the first and last name.
  4. Set Designation, Primary section, and Additional designations.
  5. Choose Create.

Edit contact, profile, and Other info

  1. Open a member from Players.
  2. Edit contactName, Email, Phone, and printed-program and roster name settings. The member's first and last name are used on printed concert programs and public-facing rosters by default, and in Player records and on the members site. Check Use a different name on printed programs and public rosters only when those public surfaces should show something else — the field starts with the first and last name.
  3. Edit profileDesignation, sections, dues exemption, roles, Admin notes. Saving a Designation or Dues exempt change refreshes dues determinations for today and future concert dates; past determinations remain locked.
  4. Edit other info — custom fields, including the admin-only Board email address used for a Board member’s Directory contact row (and their personnel-manager or librarian row when they hold both roles), and the admin-only Board role title shown after their name in the Directory Board group.
  5. Choose Save on each form.

See what a member sees

  1. Open a member from Players.
  2. Open the member actions menu and choose View as member.

You can look through the site as that member. This is a read-only version of what they see when they use the site, so you cannot make changes.

Choose Back to Admin when you are finished. Returning to Admin ends View As.

Grant Admin access to a member

  1. Open the member from Players and choose Edit profile.
  2. Enable Can access Admin.
  3. Let the member know that they can use Admin, then choose Save.

Manage a member's sign-in

  1. Open the member from Players, then open the header actions menu.
  2. Read Password: set, Password: not set, or Password: unavailable.
  3. Choose Remove password when the member should return to email-code sign-in. This does not end their current sessions.
  4. Choose Revoke all sessions when the member needs to be signed out on every device. They can sign back in with an email code or password.
  5. Review the confirmation and choose the same action again.

If an action is unavailable, focus or hover over it to read why. A member without a linked sign-in account cannot use either action.

Permanently delete an unused import

Only a Super admin can permanently delete a Player, and only when the record has no roster, signup, attendance, dues, payment, email-group, custom-field, or other operational history.

  1. Open the Player and choose Delete permanently from the header actions menu.
  2. Copy or type the displayed full name into the confirmation field.
  3. Choose Delete permanently.

Opal removes the Player immediately and tracks removal of any Clerk account in System tools → Outbox. Archive records with history instead.

Review player detail tabs (attendance, concert signups, dues, email groups)

Open a member and choose Attendance, Concert signups, Dues, or Email groups for that member's history. On Concert signups and Dues, choose a Season when you need a season other than the default. The Dues cycle table includes the stored Determination and reason; a missing past determination links to the matching Missing determinations search on Dues history. Concert signup edits use the same confirmation as the cycle table — completed payments stay paid. See Concert signups, Admin attendance, and Admin dues for cycle-wide workflows.

Review a member's email-group needs-attention status

  1. Open a member's Email groups tab.
  2. When the member has no rule mismatch, read the compact Current memberships list.
  3. When a mismatch exists, read Expected and actual. Pending means a rule expects the membership but Opal has not recorded it. Needs attention means a rule-added membership no longer matches the saved rule.
  4. Open Email groupsNeeds attention and fix the exact membership row. To change who the full rule matches, open the email group's Rules tab instead. See Email groups.

An amber attention icon next to a member's email-group count on the Players list means at least one of their group memberships has an unresolved Google Workspace or membership-rule mismatch. Hover over or focus the icon to see the number of mismatches by type.

Work the Needs follow-up queue

  1. Open the Needs follow-up tab.
  2. Enter an Email address and choose Save, or open the member to add email on the profile.

Assign or review section leaders

  1. Open Sections to review section leaders across the orchestra.
  2. To assign one, open a member → Edit profile and select their primary or secondary section.
  3. Open the ellipsis menu beside that section and choose Make section leader.
  4. Choose a position, then choose Save.

Section leader appointments are independent of Can enter attendance. Appointing a leader does not grant Enter attendance on the members site.

  1. Open a member from Players and choose Edit profile, or use Edit properties for a bulk change.
  2. Under Additional designations, enable Can enter attendance.
  3. Choose Save or Apply.

Common questions

How does someone get access to Admin?

Tell the admin to open the member in Players, choose Edit profile, enable Can access Admin, and choose Save.
