Email groups

Create email groups, choose which players belong, connect them to Google Workspace, and fix sync problems.

Review email groups and members

  1. Review the Email groups tab. Each row shows Name, Google Workspace email, and Members.
  2. Read the stage badge: Unlinked, Link pending, Link failed, or Google Workspace-linked.
  3. Open an email group to review Members and add or remove people.

Changes to an unlinked email group stay in Opal until you connect it to Google Workspace.

Review email group detail tabs (members, rules)

  1. Open an email group. The Members tab shows Add member and the current member list.
  2. Choose the Rules tab to review or edit Membership rules.

Configure email group membership rules

Membership rules keep an email group's member list up to date.

  1. Open an email group and choose Rules. If you see Current rule, choose Edit rule.
  2. Choose at least one Designation, then choose Continue. Select all includes Inactive.
  3. Choose at least one section, then choose Next. Use Select all to include every section.
  4. Under Check matching players, review the matches or search by name. Choose Review updates.
  5. Under Confirm and save, review who will be added or removed.

Choose designations and sections, then review the matching members.

Connect an email group to Google Workspace

  1. Open an unlinked email group.
  2. Open the header actions menu and choose Connect to Google Workspace.
  3. Select the matching Google Workspace group from the list.
  4. Choose Refresh Google Workspace groups when the list looks stale.
  5. Choose Connect.

After connecting, Google Workspace controls the email group name and address. Opal controls who belongs.

Review needs-attention rows

Use Mismatch type to choose what to review:

  • Google Workspace finds differences between email group membership and Google Workspace.
  • Membership rule finds missing rule matches and rule-added members who no longer match.
  1. Open Email groups and choose the Needs attention tab.
  2. Open the header actions menu and choose Check for drift to refresh the mismatch rows.
  3. Use Status to choose Needs attention, Resolved, or All statuses. All statuses keeps unresolved rows before resolved history.
  4. Use Search drift to find any token in a member's first, last, or print name, current email, or the captured Opal/Google email on a row. Email-group names and addresses are not searched.
  5. Review the Member / email, Mismatch, Detected, and Resolution columns. missing_in_google means the member is present in the email group but missing from Google Workspace. extra_in_google means the address is missing from the email group. Unknown Google addresses remain searchable through their captured email. Rule mismatches show whether the member is expected by the rule or should be removed from the email group.
  6. Fix unresolved Google Workspace rows with Add to Google Workspace or Remove from Google Workspace. Fix unresolved membership-rule rows with Add to email group or Remove from email group. Use Ignored or Manual when you handled a mismatch another way. Resolved rows are read-only.
  7. Select several unresolved rows and choose Fix selected to apply their available fixes together. Use the pagination controls to browse every matching row.
  8. From a linked email group, choose Review drift to show only that email group's rows.

Manually added members are valid exceptions to membership rules and do not appear as mismatches.

Players with unresolved mismatches also show an amber Needs attention badge next to their email-group count on the Players list. On a player's Email groups tab, each group appears once with its Opal membership, rule expectation, Google Workspace connection, and any available fix. Groups needing attention appear first.

Add or remove a player from an email group

  1. From Email groups, open an email group. On the Members tab, use Add member to search by name, email, section, or membership type.
  2. Choose Remove on a member row when they should leave the list.
  3. From Players, open a member and choose the Email groups tab.
  4. Use Add email group or Remove on a specific email group.

For a linked group, Opal confirms that the Google Workspace update was queued and offers a View Outbox action. An unlinked group changes only in Opal. You may remove a player who still matches a saved membership rule; the group remains marked Needs attention until you change the rule, add the player back, or mark the mismatch as an intentional exception.

Archived members cannot be added to email groups until they are unarchived.

Troubleshoot Outbox queue issues

The Outbox shows integration jobs for Clerk and email groups.

  1. Open AdminOutbox from the sidebar System group.
  2. Review Pending / processing for work still running.
  3. Review Failed for rows that need attention. Read the kind label, such as Email group member add.
  4. Choose Retry on a failed row to send it back to pending.
  5. Confirm the row moves to Recent successes after the worker finishes.

If failures repeat, note the kind and member involved before escalating to engineering.
